How to apostille a Florida diploma or transcript.

A diploma or transcript can't be apostilled as it comes out of the registrar's office: a school official has to sign it in front of a Florida notary, with a complete notarial certificate in English. Florida notaries may not attest copies of public school and university records, so the notarization has to come from the school itself — ask the registrar for a copy “notarized for apostille”. Most Florida colleges and universities offer it, some for a small fee.

Diplomas as issued, with printed signatures, are rejected, and so are copies notarized by an outside notary. A transcript can't be apostilled inside a sealed envelope; if an evaluator also wants a sealed copy, order a second one. Diplomas and transcripts from schools in other states are apostilled by that state.

Not sure about yours? Send a photo when you order and we check it before anything is filed. How to ask the registrar →

Send the notarized original from the school, not a scan: the apostille is a separate certificate attached to the paper itself, so the paper you mail is the paper that goes abroad. Tell us the destination country when you order — it decides whether Florida issues an apostille or, for countries outside the Hague Convention, an authentication certificate.

Ordering several documents — for a family move, a citizenship file or an estate? They travel together in one envelope, and a photo of each one before you ship lets us flag a problem while it's still easy to fix.

Florida diploma and transcript apostille, step by step.

1. Confirm what the receiving side wants. The diploma, the transcript or both — and whether it also wants a sealed copy sent straight from the school.

2. Ask the registrar for a record “notarized for apostille”. For a transcript, the registrar signs a statement that it is a true copy of the official record (a jurat); for a degree verification letter, the registrar acknowledges signing it for the university.

3. Check the notarial certificate. State of Florida and county; the physical-presence or online box checked; the date; the official's name (and title, for a representative acknowledgment); how they were identified; the notary's original signature and seal; English wording. A bare stamp with no wording is rejected.

4. Send it to us. We file it in person and return it in 5–7 business days. Keep your original diploma — send the notarized copy.

Who needs apostilled diplomas & transcripts.

These are the most common reasons our customers apostille their educational credentials.

International Teaching

International schools in the Middle East, Asia, Latin America, and Europe require apostilled teaching credentials. Florida teachers heading to UAE, Saudi Arabia, Qatar, Korea, China, and Japan use us routinely.

Foreign Graduate Programs

Graduate programs in Italy, Spain, Germany, the UK, the Netherlands, and elsewhere require apostilled undergraduate diplomas and transcripts as part of the admission file.

Professional Licensing Abroad

Doctors, nurses, lawyers, engineers, accountants, architects, and pharmacists need apostilled diplomas and transcripts to qualify for foreign professional licenses.

Credential Evaluation (WES, ECE)

International credential evaluators (WES World Education Services, ECE, Josef Silny) accept apostilled diplomas for evaluation in support of immigration, employment, or further education applications.

International Work Visas

Many foreign work visa applications — especially in regulated industries like healthcare, education, and engineering — require apostilled proof of educational credentials in addition to the background check.

Diplomatic & Consular Submissions

Foreign consulates in Miami and Orlando request apostilled academic credentials for visa interviews and credentialing in their home country.

Common questions.

Yes — by the school. A school official signs the diploma copy or transcript in front of a notary, with a complete Florida notarial certificate. Florida notaries may not attest copies of public school and university records, so an outside notary can't make it apostille-ready. Most registrars offer a “notarized for apostille” request. How to ask for it →
Not in the envelope. The apostille attaches to the notarized transcript itself, so the transcript has to come out — ask your registrar for a transcript "notarized for apostille" (the registrar signs it before a notary with a complete Florida notarial certificate). If a foreign university or evaluator also wants a sealed copy, order a second, separate sealed transcript.
Age doesn't affect apostille eligibility. We've apostilled diplomas from the 1960s. The only requirement is that the document is notarized properly before submission to FL DOS.
No — only the issuing school can replace a diploma. Most Florida universities offer replacement diploma services for $20–$100. Once you receive the new diploma, we apostille it. Same with replacement transcripts.
Depends on what the receiving institution is asking for. Many foreign universities want both apostilled diploma and apostilled transcript. Some only want the transcript. Some only want the diploma. Check the requirements with the receiving institution before ordering — you don't want to over-apostille and waste money.
WES and similar U.S. evaluators mainly review foreign credentials and usually want records sent directly by the school. When a foreign university, employer or ministry asks for an apostilled Florida diploma, the apostille meets that country's authentication requirement — ask whether it also wants a sealed copy, and order that separately.
The Department of State charges $10 per document; the registrar's notarized copy usually has a small school fee. Our service is $220 all-in — state fee, review, in-person filing and U.S. return shipping — $380 for a diploma and transcript together, $160 each for three or more.
Mailed to the Department of State yourself, about five to seven weeks. With us, 5–7 business days from the day we receive the notarized record. Registrars' “notarized for apostille” requests typically take from a few days to two weeks.
